There are different styles of writing an email to get an acceptance letter from the expected supervisors for your Bachelor, Masters, PhD and Post-Doc scholarships/fellowship applications. This article will guide you about writing a perfect email with minimum flaws to increase the chances of getting a positive reply from the professor.
1. Email Accounts: Use Hotmail, MSN or Yahoo email accounts and try to avoid using Gmail, as Google/Gmail is blocked in China so most email you will send may go the the spam email folder.

2. Title / Subject Line: The title needs to be very clear and to the point. If you are sending 100 emails you must not use same title for all emails, as your emails may be tagged as spam by the automatic email spam detection for email companies. Try using a bit different title for emails sending to professors. e.g. you can add the name of the professor with title in email to make all your email titles unique. Example titles are provided below.
Request of Acceptance Letter for PhD Scholarship Application from Professor ABC
Request for Vacant PhD Research/Scholarship Position in Lab of Professor ABC
Request for PhD Degree Research Supervision to Professor ABC
Request for Acceptance Letter for [Scholarship Name Here] Application from Professor ABC
Exploring Research Opportunity for PhD Program in Fall 2023 with Professor ABC
3. Body:
Dear Professor ABC [always write full name of the professor carefully]
Introduction and Study Background (Only state degree, CGPA, %age and unique educational distinctions)
e.g. I am XYZ, a final year Masters Computer Science student at HJK University, City, Country. I am writing this email to request you for an acceptance letter to supervise me for my PhD Degree, starting in fall 2024. I have obtained excellent 4.0/4.0 CGPA or 87% or 3.9/4.0 GPA, etc
Previous Research Experience [Best papers published preferably as first author in top Venues in same area with professor]
Motivation [visit professors Google Scholar Profile/Lab page and state that you are relevant and impressed by ABC research paper and wish to join them]
Funding Source [State here source of funding or scholarship name]
4. Regards:[never attach CV, proposal or link to your profile they may be considered as a spam when you are sending email first time]

Mistakes you should avoid while writing an acceptance letter email

  • Using Gmail instead of Hotmail, Yahoo or other emails. As google/Gmail is blocked in China and most emails first time will go to the spam emails.
  • Not addressing the professor/supervisor appropriately (e.g., using the wrong title, misspelling their name).
  • Failing to express gratitude and enthusiasm for the opportunity.
  • While writing about your research interest, using a very generic field is main problem “Simply state your specific field of intentions”.
  • Forgetting to include details like contact information and other scholarship details.
  • Being informal. “Keep the tone respectful and professional” don’t be casual.
  • Have no structure of information in paragraphs of the email body.
  • Including spelling or grammatical errors.
  • Introduce yourself not properly at the start and praising yourself too much.
  • Not expressing interest to hear back from the professor at the end of an email
  • Never write very lengthy emails just be precise.
  • Don’t write too much stories about your educational struggle and skill just be very specific
  • Being too pushy or demanding in the language used.
  • Not sharing your top research paper titles if you have any in the email (don’t share CV in the first email)
  • Not asking about any further steps which you can take for further processing or asking him about guidelines
  • Attaching CV or Proposal or link of your profile page in the first email and usually unknown senders email with attachments goes to spam email

Note

If you don’t receive a response to your email after a week or two, it’s appropriate to send a follow-up email to the professor. You may need to send email to 10 professors to get may be just one response, so done be dishearten.
